VENDOR AGREEMENT UPDATE 5/20/26 

PRICE: $90 Per Booth

DEPOSIT REQUIRED:
A non-refundable 50% deposit of $45 is required at time of reservation.
The remaining $45 balance is due at check-in on the day of the event.


Booth Size 22’ wide x 20’ deep
Location: Petaluma Fairgrounds — Lot B. 900 E. Washington St., Petaluma, CA 94952
Public Hours: 9:00 AM – 3:00 PM

Load-In: 6:00 AM – 8:00 AM
(Please do not enter the parking lot before 6:00 AM!)


Check In Procedure
1) Please pull up to the check-in area one vehicle at a time.
2) Remain in your vehicle and have the following ready:
• Your booth number or the last name of the reservation holder
• Your remaining booth balance: $45
• Payment may be made by cash, check, Venmo, or PayPal
3) Please do not jump the line or drive around the check-in area, every vendor must check in.

Helpers & Sharing Policy
• You may have no more than two helpers in your booth.
• You may only have ONE vehicle in your booth space.
• You may not share your space with a second vendor.
• One space per vendor please.

Load-Out: 3:00 PM
• No packing up before 2:00 PM
• No vehicle movement before 3:00 PM

Trash Policy: PLEASE NO DUMPING!
Leave only your footprints.


Terms and Conditions:
• Maximum vehicle length 22’ per space. Large vehicles must park outside the vendor lot.
• Vendors are expected to sell vintage and antique goods unless approved in advance.
• Must use tables with table cloths. No ground tarps! No piles of loose clothing. Clothing must be hung or folded.
• Secure all full length dressing mirrors.
• Food and beverages may not be sold unless pre-approved by event management.
• Firearms, munitions, or weapons of any kind may not be sold.
• No alcohol may be sold or consumed on the property.
• Canopies must be weighted down with 40 lbs. per leg minimum.
• If wind is forecast over 15mph no canopy roofs are allowed! YES SERIOUSLY!  The mesh style roofs are ok. 

• California resale permit, is required to sell more than twice per year in CA.
• Petaluma Vintage LLC, event coordinators, Sonoma-Marin Fairgrounds staff, and any applicable city or property officials
reserve the right to remove anyone who does not comply with these terms and conditions.

Reservation Policy
A booth reservation requires a 50% non-refundable deposit of $45, due at the time the reservation is made. The remaining $45 balance is due at check-in on the day of the event. Please have your balance ready when you arrive.
Accepted payment methods at check-in: Cash, Visa, Mastercard, Check (pay to:petaluma vintage llc), Venmo or PayPal.

Booth numbers are not guaranteed and may be subject to change without notice.

Cancellations and No-Shows
If you need to cancel your reservation, please let us know as far in advance as possible. This helps us tremendously, especially when we have vendors on a waiting list who may be able to fill the space. **Please understand that all deposits are non-refundable**

Event Cancellations:
If the event must be canceled due to rain, weather, or a city/fairgrounds-required shutdown, cancellation notices will be announced by Friday at noon before the Sunday event. A make-up date will be held the following Sunday if the fairgrounds is available. If the fairgrounds is not available, the make-up date will move to the following month’s scheduled market.

Your deposit will be applied to the make-up date only.
**If you are unable to attend the makeup date, your deposit will be forfeited.**


Agreement and Liability Release
By placing a reservation, you agree to comply with all terms and conditions listed above.
You also agree to release Petaluma Vintage LLC, its affiliates, event coordinators, property owners, staff, and representatives from any liability, damage, loss, theft, or injury to person or property while participating in any Petaluma Vintage LLC event.


Tips for Successful Vending
 

Make your booth inviting and easy to shop.

Use a canopy to create atmosphere and provide shade.

If you need help setting up or taking down your canopy, just ask
— we are always happy to lend a hand.

 

Bring a mix of items at different price points.

A range of prices helps attract more shoppers and
gives people more ways to buy from you.

 

Price with room to negotiate.

If you need $12 for a record, mark it at $15.

That way, if a customer asks whether you can do $10,
you can comfortably counter at $12.

 

Keep your best eye-catching items toward the front of your booth.

A strong visual first impression helps draw shoppers in.

 

Display prices clearly.

Customers are more likely to buy when they
do not have to guess or ask.

 

Create height and variety in your display.

Use crates, shelves, racks, or small tables to make your
booth more dynamic and easier to browse.

 

Keep your booth neat and organized.

A clean, well-arranged space makes
shoppers want to stay longer.

 

Be friendly and approachable.

A simple greeting can make people feel
welcome without pressuring them.

 

Bring cash and be ready to accept
multiple forms of payment.

The easier it is for customers to pay, the more
likely you are to make the sale.
